Cooper Small Business Services is a veteran-owned firm that provides bookkeeping services for small businesses. The service is fully virtual, and we serve clients in all 50 states. Each month we reconcile your accounts, close the month, and send the reports agreed upon in the service agreement: profit and loss, updated balance sheet, cash flow, owner's equity, and receivables and payables.
What the bookkeeping service includes
The service covers the complete monthly accounting cycle. This list shows the available offerings, and your service agreement defines what your engagement includes each month.
- Monthly reconciliation. We reconcile your bank accounts, credit cards, loans, and payment platforms against your records. We code each transaction and match it against the bank records.
- Books setup. For a new business or a first system, we build the chart of accounts around your revenue and expense types, connect the bank feeds, and set the bank rules that code your recurring transactions.
- Monthly reports. Your service agreement defines the reports you receive each month. Standard reports are: profit and loss, updated balance sheet, cash flow statement, statement of owner’s equity, and accounts receivable and accounts payable schedules.
- A direct line. You email or call us. There is no ticket system between you and the team.
From the first call to your monthly reports
The process runs in four steps, from the first call to your monthly reports.
- The free call. The call runs about 30 minutes by video or phone. We cover what your business does, what systems you currently use, and what problems you are having.
- The review and the quote. We review your file, count the accounts and the monthly transaction volume, and quote you a flat monthly fee.
- Onboarding. You sign a service agreement, we set up access to your systems, and we agree on a reporting schedule.
- The monthly accounting cycle. After your statements post, we reconcile and code the month. We ask you about any items we cannot classify from the records. We then close the month and send you the reports.
Cleanup sits outside these steps. If your books are outdated or incorrect and you want them corrected, we quote that as its own project. It is optional, and the monthly service can proceed without it.
The year-end closing package
The year-end closing package prepares your books for your tax accountant. Like cleanup, it is project work. We quote it as its own one-time project, and it is not part of the flat monthly fee.

The tools we support
We work inside the systems you already use.
- Bookkeeping platforms. Xero and QuickBooks Online: we hold certifications in both. The subscription stays in your name and you own the file.
- Bank and card feeds. Direct feeds from your bank, your credit cards, and your loan accounts, so the data arrives without a manual export.
- Payment platforms. Stripe, Square, and PayPal: we reconcile the deposits, the platform fees, and the refunds against gross sales.
- Receipt and document capture. Tools that turn a photo of a receipt into a coded record with the source document attached to it.

Do you work with businesses outside California?
Yes. The service is fully virtual, and we serve small businesses in all 50 states. We work from your online accounts, so the work needs no in-person visit. Calls run by video or phone, and documents move through a secure shared folder.
Do you prepare or file my tax returns?
No. We are not a CPA firm, and we do not prepare or file tax returns. We give your tax accountant a set of reconciled books. We also offer a year-end closing package that gathers the trial balance, the year-end reports, and the supporting schedules an accountant asks for. That package is project work, so we quote it separately from the monthly fee.
My books are months behind. Can you still help?
Yes. We review how far behind the books are and quote the catch-up as a separate one-time project.
How much does bookkeeping cost?
You pay one flat monthly fee. We set the fee after we review your accounts, because the work depends on your transaction volume, the number of accounts, and the number of source systems.
Am I locked into a contract?
No. The service is month to month, and there is no annual contract. Either party can end the service agreement at any time with written notice, and you pay only for the work performed through that date. The bookkeeping file stays in your name, so your records go with you.
Which bookkeeping software do you work in?
We are certified in both Xero and QuickBooks Online, and we work in whichever one you already use. If you have no accounting system yet, we set one up. The subscription stays in your name and you own the file, so your access to your records does not depend on us.
How do I get my documents to you, and is my data safe?
Yes, your data is safe. We share documents through a private cloud folder that we set up for you, and your records stay in that environment. We can also send your monthly reports by email. When we need access to a system that holds your data, we request the most limited role that allows us to do the work — a practice called least-privileged access. We will never ask for your online banking password.
How long does it take to get started?
The timeline depends on the state of your books and the number of accounts. A business with current books and one or two accounts starts quickly. If your books need a cleanup first, the cleanup runs on its own timeline and does not delay the start of the monthly service. We state the timeline in the quote.
